Context and need
The store team tracked wedding parties in spreadsheets and retyped every order into Shopify at payment time. Party members came in to be measured on different dates, in several stores, and nobody had an overview of the weddings at risk.
The store needed a simple staff tool with roles (owner, coordinator, location lead, staff), automatic reminders and zero double entry.
Our contribution
- Dashboard: active weddings, next 30 days, check-ins due, pending review, rentals out, filters by store and stylist
- Wedding page: couple, date, store, party members, measured or ordered status, printable sheet and summary
- Measurement entry per member with scheduled snapshots; activity log attributed to the logged-in user
- Check-in timeline with e-mail alerts (Resend) and SMS (Twilio): new wedding, intake, measurements complete, note added
- Shopify sync: a draft order is created and updated automatically for each member, pay link by SMS, late fees, conversion to an order seven days before the wedding, balance reflected in the tool
- Admin: users and roles, configurable catalog, notifications, reports, sync status
What carries over to the DRC
- Roles and permissions per store: the same model as a school with several sites or a distributor with several depots
- Automatic SMS and e-mail notifications at every step, with no staff action
- Integration with the existing till rather than replacement: staff keep their habits
- Staging environment with its own database to test without risk
