School Portal & Fees
Parents pay fees by mobile money, get an SMS receipt, and the head sees unpaid balances every morning.
Demonstrator. This project is a demonstrator built by IK Digital Solutions to show our method. No real client is named and no commercial result is shown. The features described can be tested in the demo.
Client type and problem
Private schools and universities
In a private school, fees are collected in cash at the office, with handwritten receipts. Parents do not know what they owe, the head does not know who has paid, and cash moves around the building.
Communication travels as paper in school bags.
What we built
- Fee payment by M-Pesa, Airtel Money, Orange Money, with automatic SMS receipt
- Payment schedule per pupil, partial payments accepted, SMS reminders before due dates
- Head's dashboard: today's collections, unpaid balances by class
- Report cards, timetables and announcements visible to parents
- Announcements sent by WhatsApp and SMS
How it holds up in the DRC
- Parents without a smartphone receive everything by SMS
- Amounts in USD and CDF
- The office works offline during a cut and syncs afterwards
- French interface, notifications in French or Lingala
Deployment
- Hosted in Kinshasa, Cloudflare in front of the portal
- Docker containers, PostgreSQL database, local SMS gateway
- Encrypted nightly backup, off-country copy, restore tested
Monitoring
- Probe every 60 seconds on the portal and on the payment gateway
- Tracking of undelivered SMS and pending payments
- WhatsApp and SMS alert to our team
- Monthly availability and incident report
